What is C3PO?
C3PO is a specialized contracting and budget tracking system designed specifically for festivals. This system empowers users to submit contracting information, request expenses and payments, and meticulously track these items throughout the entire process, ensuring precise and efficient management.

User Types
In this system, there are different types of users, each with specific access and roles:

Unrestricted Users:
- Unrestricted users have full visibility and can view all numbers and line items within a project they've been added to.

Restricted Users:
- Restricted users have limited visibility and can only see numbers and line items in the budget that they've been given explicit access to. They can see expenses related to their allowed line items. If an expense contains information on other line items, those will appear blank to them.

Administrators:
- Administrators are typically reserved for programmers and individuals working on system maintenance and development. They may have elevated privileges for system management.

Accountants:
- Accountants are typically reserved for professionals handling financial matters. They have access to view all projects and the capability to post payments within the system.

Contracting Users:
- Contracting users are specifically designated for the contracts team. They have the authority to edit vendor requirements and receive alerts when contracts are requested within a project. This role is tailored for contract management.
These user types ensure that individuals have appropriate access levels and roles within the system based on their responsibilities and requirements.
Approval Pipeline
The approval pipeline within the system follows a structured sequence of steps:

Project Created:
- A project is initiated.

Budget Added to a Project:
- The budget for the project is created and configured.

Users Added to a Project:
- Users with varying roles are added to the project, typically done by Admins and Accountants.

Payees/Vendors Added to the System:
- Users can add payees or vendors to the system.
- Vendors used at a single show must be created from scratch.
- Vendor templates can be created for vendors intended for multiple shows.

Expense Requests:
- Users can submit expense requests.

Line-Item Approval (Optional):
- Optionally, there can be an approval step at the line-item level.

Expense Approval (Required):
- Expenses must be approved by an Accountant.

Payment Approval (Required):
- Payments require approval by a Director or Festival Executive, serving as the final level of approval before payment. This step is reserved for the director overseeing the project.

Payment Posted:
- Once the payment is approved, it can be posted, and the financial transaction is completed.
This approval pipeline ensures that expenses and payments go through a structured review and approval process, with the final approval coming from a director or festival executive before the payment is posted.

To log in to C3PO, follow these steps:

Enter your email address.

Click "Request Token."
The system will send an email to your registered account, and within that email, you will find a 6-digit token. Follow these steps:

Retrieve the 6-digit token from your email.

Enter the 6-digit token number into the designated field.
-
Click "Submit Token" to complete the login process.
To further verify your login, you'll be prompted to enter your password. Here's what you need to do:

Enter your password into the provided field.
-
Click "Submit Password" to confirm and finalize your login.
Two-Factor Authentication
For added security, C3PO employs Two-Factor Authentication (2FA). Here are some important points to note:

Initial 2FA Setup:
- Upon your first login to C3PO, you will be asked to set up one method of Two-Factor Authentication.

Completion Deadline:
- It's essential to complete the 2FA setup within 7 days of your initial sign-in. If not, the system will automatically disable your account.

Account Re-Enablement:
- If your account is disabled due to the lack of 2FA setup, you will need to email C3PO@c3presents.com to have your account re-enabled.
This process ensures that your account is secure and requires an additional layer of authentication for access.
Alerts
To access and manage your alerts in the system, follow these steps:
- Click on the bell icon located in the top right-hand corner of the screen.
- The alert will appear in a pop-up box when you click on it from this screen.
- After taking action on the alert, it will be marked as "Read."
- You can also use the checkmarks on the right to manually mark alerts as "Read."
- In the "Unread messages" tab, click on the envelope icon to mark the alert as "Unread."
This allows you to keep track of and manage your alerts within the system.
