AMP Roles and Permissions Guide
AMP is designed with a variety of Roles and Permissions that allow different levels of access to areas in a project. This provides maximum flexibility while also protecting the integrity of the data in a project.
Project Roles and Permissions
These settings are defined in Project Settings under Project Access.
Active
Sets the user’s ability to access the project.
- Yes – The user has access to the project with any set permissions and roles they have been granted.
- No – Access to the project is removed for the user. This can be used to remove a user from the project completely without removing access to each project area individually.
Show Access
Sets the access for users to the Resource Side of the show:
- Admin – Gives the user full admin access to the Resource Side of the project. They are able to view and edit all Project Settings, Resources and Forms, Advance Types and Portals, and Stages. This permission also lets the user add other users to the project and edit other users' access.
- Admin Read Only – Gives the user View Only access to the Resource Side of the project. They are able to View all Resources and Forms, Advance Types and Portals, and Stages. This user cannot view or edit other users' access to the project.
- Default – Gives the user access to the Resource Side for the purpose of access to the areas they have other permissions assigned. For example, a user with only Resource Approver access to a resource will need Default Show Access to reach the resource they are approving for. They will not have access to areas they do not have permissions for.
- None – The user has no Resource Side access to the project. For example, a user who only needs access to a portal.
Project Settings Access
This allows for granting a user access to view and edit a specific area of the Project Settings without granting the ability to see and edit all areas of the project settings. These can be toggled individually or in combination with each other.
- General and Messaging – Allows the user to View and Edit the Welcome Message for Show Users, Welcome Message for Portal Users, and the Portal Closed Message.
- Locations – Allows the user to View and Edit the Locations and Stages for the project.
- Calendar – Allows the user to View and Edit the Calendar for the project.
- Project Access – Allows the user to add other users to the project, view and edit others' access in the project as well as their own access. Along with this toggled on, Show access must be set to Admin Read Only at minimum for the user to add Resource and Form, and Advance Type and Portal access for a user. If Show Access is set to Default, the user can only edit and change access other users have been granted and remove a user’s access.
- Integrations – Allows the user to add and edit the project’s Integrations. Typically, this would be reserved for the user who is managing ticketing resources.
Resource Roles and Permissions
Defines a user’s level of access to specific resources:
- Resource Viewer – Allows the user View Only access to the Resource(s) they have been assigned. This user can view all forms and requests in the Resource.
- Resource Editor – Allows the user to View and Edit access to the Resource(s) they have been assigned. This user can View and Edit all forms and configuration inside the resource.
- Resource Approver – Allows the user View, Edit, and Approver access to the Resource(s) they have been assigned. This user can View and Edit all forms and configuration inside the resource as well as make Resource Level Approval on all requests.
- Form Viewer – Allows the user View Only access to a specific form or forms they have been assigned inside a resource as well as View access to the resource.
- Form Editor – Allows the user View and Edit access to a specific form or forms they have been assigned inside a resource as well as View access to the resource.
- Form Approver – Allows the user View, Edit, and Approver access to a specific form or forms they have been assigned inside a resource as well as View access to the resource.
- Alternate Form Approver – Allows a user to, depending on the setting, Approve as the Portal Approver or Resource Approver for a specific Resource Form assigned to an Advance Type or Portal.
Advance Type Roles and Permissions
Defines access to Advance Types and their Portals:
- Advance Type Viewer – Allows the user View Only access to the Advance Type(s) they have been assigned. The user is also able to View all Portals under the Advance Type(s).
- Advance Type Editor – Allows the user to View and Edit access to the Advance Type(s) they have been assigned. This user can View and Edit all settings for the Advance Type(s) and View and Edit all Portals under the Advance Type(s).
- Advance Type Approver – Allows the user View, Edit, and Approver access to the Advance Type(s) they have been assigned. This user can View and Edit all settings for the Advance Type(s) and View and Edit all Portals under the Advance Type(s).
Advance Type User Unrestricted/Restricted
AMP allows a Resource Form to be set as Restricted or Unrestricted.
- Unrestricted Advance Type Users– Allows the user to view all Restricted Resource Forms assigned to the portals in the Advance Type.
- Restricted Advance Type Users – The user cannot view any Restricted Resource Forms assigned to the portals in the Advance Type.
Portal Roles and Permissions
Manages access to Portals within a project:
- Portal Viewer – Allows the user View Only access to the Portal(s) they have been assigned. This user cannot make any requests in the Portal(s).
- Portal Editor – Allows the user to View and Edit access to the Portal(s) they have been assigned. This user can View and Edit all settings for the Portal(s), set another user as the Portal Approver, and invite Requesters to the portal.
- Portal Approver – Allows the user View, Edit, and Approver access to the Portal(s) they have been assigned. This user can View and Edit all settings for Portal(s) and Approve requests in the portal for Resources that do not have Alternate Portal Approvers set. The user is also able to invite Requesters to the Portal(s) and add additional Portal Approvers to the Portal(s).
- Portal Requester – Allows the user to View the Portal(s) and make requests in the Portal(s) they have been assigned.
Portal User Unrestricted/Restricted
- Unrestricted Portal Users – Allows the user to view all Restricted Resource Forms assigned to the Portal(s).
- Restricted Portal Users – The user cannot view any Restricted Resource Forms assigned to the Portal(s).
Where to Add Users to a Project
- Project Settings – Users can be added on the Project Access tab.
- Resource and Forms – Users can be added on the Configuration tab and in the individual Form’s Configuration tab and Portal Assignments tab.
- Advance Types and Portals – Users can be added under the Access and Approvers tab inside an Advance Type.
- Portal – Users can be granted Portal Requester and Portal Approver access inside the Portal.
