Setting Alternate Approvers
Alternate Approvers can be assigned by advance type and/or by portal. They may serve as either Portal Approvers (first level of approval) or Resource Approvers (second level of approval).
When set, Alternate Approvers replace the existing approvers in the approval pipeline for the specified scope (portal or advance type).
Example 1: Alternate Portal Approver for One Portal
Scenario:
John Doe is the Portal Approver for the Test Department portal.
Jane Doe is assigned as the Alternate Portal Approver for the Comps form for the Test Department portal.Result:
Jane Doe will approve all Comp requests from the Test Department portal in place of John Doe.
John Doe will remain Portal Approver for the Test Department portal’s other resource requests.
Comp requests will still require Resource Approval from the Resource Approver set on the resource or form configuration.-
Steps to Set an Alternate Portal Approver for One Portal:
Navigate to Resources and Forms and select the resource and form.
Click Portal Assignments.
Select the Advance Type.
Scroll to the Portal Specific Settings section.
Select the Portal.
Under Alternate Approvers, click Add.
Enter the approver’s name or email address and click Select User.
Choose Portal Approver.
Example 2: Alternate Resource Approver for One Portal
Scenario:
John Doe remains Portal Approver (first level) for the Test Department portal.
Jane Doe is assigned as the Alternate Resource Approver for the Comps form for the Test Department portal.-
Result:
John Doe will continue to Portal Approve comp requests.
Jane Doe will now Resource Approve the comp requests for the Test Department portal instead of the Resource Approver set on the resource or form configuration.
Steps to Set an Alternate Resource Approver for One Portal:
1. Navigate to Resources and Forms and select the resource and form.
2. Click Portal Assignments.
3. Select the Advance Type.
4. Scroll to the Portal Specific Settings section.
5. Select the Portal.
6. Under Alternate Approvers, click Add.
7. Enter the approver’s name or email address and click Select User.
8. Choose Resource Approver.
Example 3: Alternate Portal Approver for an Entire Advance Type
Scenario:
John Doe is Portal Approver for the Test Department portal.
Jane Doe is set as the Alternate Portal Approver for the Comps form for all portals under the Department Advance Type.Result:
Jane Doe will now Portal Approve all Comp requests for all portals under the Department Advance Type.
Comp requests will still require Resource Approval from the Resource Approver set on the resource or form configuration.-
Steps to Set an Alternate Portal Approver for an Advance Type:
Navigate to Resources and Forms and select the resource and form.
Click Portal Assignments.
Select the applicable Advance Type.
Under the Advance Type Settings, locate Alternate Approvers.
Click Add.
Enter the approver’s name or email address and click Select User.
Choose Portal Approver.
Example 4: Alternate Resource Approver for an Entire Advance Type
Scenario:
John Doe remains Portal Approver for the Test Department portal.
Jane Doe is set as the Alternate Resource Approver for the Comps form for all portals under the Department Advance Type.-
Result:
Requests will first be Portal Approved by their respective portal approvers.
Jane Doe will then Resource Approve all Comp requests from all Department Advance Type portals instead of the Resource Approver set on the resource or form configuration.

Navigate to Resources and Forms and select the resource and form.
Click Portal Assignments.
Select the applicable Advance Type.
Under the Advance Type Settings, locate Alternate Approvers.
Click Add.
Enter the approver’s name or email address and click Select User.
Choose Resource Approver.
