Is Portal Restricted is a field found on the Configuration tab of a Resource Form. This field provides the ability to restrict the form's visibility inside the portal once it has been assigned.
Forms can always be assigned to advance types and/or portals. (How to Assign a Resource Form.) The Portal Restricted setting allows you to further restrict access down to the user level.
Below are examples of how the Portal Restricted Settings can be used.
Example 1: Portal Restricted set as No
In this example, the Portal Restricted setting is set as "No."
Assign the form to the desired Advance Types or Portals.
ALL users, both restricted and unrestricted, are able to view the form and make requests. This is the view both restricted and unrestricted users see in the portal to which this form is assigned.
Example 2: Portal Restricted set as Yes
In this example we will change the Portal Restricted setting to "yes."
Assign the form to the desired Advance Type of Portals.
All restricted users are unable to view the form or make requests, while all unrestricted users can view the form and make requests.
Setting a User as Unrestricted
If the user needs to view a Portal Restricted form they must be set as unrestricted. This can be done in Project Settings or in the Portal.
To set the user as unrestricted
- Click on their name in the requestor list
- Select edit.
- Toggle the user as Unrestricted
- Click save.
This user can now see all forms assigned to the portal including any Portal Restricted forms.
Note: To set the user as unrestricted in the portal, you will need at minimum to be an unrestricted requestor for the portal. Unrestricted Portal Approvers and unrestricted Advance Type Approvers can also edit this setting.
