Adding an Advance Type to a Project
To add an Advance Type to a project, navigate to Advance Types & Portals and click "Create Advance Type."
Complete the following fields:
- Name – The name of your advance type (e.g., Artists, Departments, Vendors, Sponsors, Food Vendors, Non-Profits).
- Advance Tag – The tag applied to all portals added under this advance type. Choose from the dropdown or add a new one by typing in the submission field.
- Show Artist Features – Toggle NO. Selecting YES will open additional features in the advance portals needed for performers. More on adding Advance Types for Performers can be found HERE.
- Default Message Boxes – Toggle OFF. Selecting ON will open additional messaging fields in the advance type for performers.
When you are finished, click "Submit."
Adding Portals to an Advance Type
To add Portals to an Advance Type, select the advance type and navigate to Portals. Click "Create Advance Portal."
Complete the following steps:
- Select the advance from the list of advances tagged for this advance type, or type the name of a new portal you would like to add and click "Create New Advance."
- When you are finished, click "Submit" and choose "Stay Here."
Once all your portals have been added to your advance type, you can edit messaging, access, approvers, and configuration. To view a portal, select it from the Portals List.
Setting the Advance Type Configuration
To edit the Configuration for the Advance Type, navigate to Configuration. Here, you will be able to edit the settings for all portals within the advance type.
The fields are as follows:
- Name – The name of the Advance Type as it appears in the project.
- Advance Tag – The tag applied to all portals in the advance.
- Show Artist Features – Reserved for performer Advance Types that require access to additional features in their portals.
- Key Contacts Requested – Allows you to set key contacts that all portals must complete. To edit, click the edit icon, begin typing contact types in the box, and press Enter to add additional contacts. Click "Submit" when finished.
- Intake Form – Enables you to create an Intake Form for your advance portals to complete. Click "Add Question" to begin adding questions. To reorder how questions are displayed, click "Reorder Questions."

Show Project Welcome Message –
- YES – Displays the project welcome message set by the leadership team to portals in the advance type.
- NO – Hides the welcome message from portals in the advance type.
Adding Messaging and Instructions for an Advance Type
To add Instructions and Messages for all portals in your advance type, navigate to Messaging and Instructions. The first message box has already been added for you.
To edit the message, complete the following fields:
- Title – Click the edit icon to change the title of your message or instructions.
- Active – Click the edit icon to toggle YES (message is visible to all portals in the advance type) or NO (message is hidden).
- Content – Click the edit icon to add your message or instructions.
To reorder the Messages and Instructions display order, click "Reorder."
To add additional Messages & Instructions, click "Add Instruction" and follow the steps above.
Viewing Assigned Resource Forms
To view the Resource Forms assigned to the Advance Type and Portals, navigate to Assigned Resource Forms. Here, you will find a list of resources assigned to the advance type, along with any portal-specific resource assignments.
The fields are as follows:
- Show in Portal – YES means the resource is visible to portals in the advance type.
- Request Deadline – Displays the deadline for resource requests set by the resource owner.
- Instructions – Displays resource-specific instructions set by the resource owner.
- Alternate Approvers – Lists additional resource-specific approvers beyond the portal and resource approver.
Portal-Specific Assignments:
If there are portal-specific assignments for a resource, selecting a portal will display the following fields:
- Show in Portal – Allows for exceptions to the Advance Level Setting. For example, a resource may be turned OFF for all portals in an advance type but turned ON for a specific portal.
- Request Deadline – If no portal-specific deadline has been set, the deadline will default to the resource deadline.
- Alternate Approvers – Displays any additional portal-specific approvers for the resource.
Assigning Access and Approvers
To view or edit Advance Type or Portal Access, navigate to Access & Approvers.
Here, you can do the following:
- View Advance Type Access – Select a user to view their access to the advance type.
- Add an Advance Type User – Click "Add User to Advance Type", then select the user's role/permissions.
- View Portal Access – Select a user and portal to view their access for a specific portal.
- Add a Portal User – Click "Add User to Portal", type the user's name, and click "Select User." Choose the portal and assign their role/permissions. Click "Submit" when finished.
